How can an ERP be integrated with Microsoft 365, Teams and SharePoint in the UAE?

An ERP integrates with Microsoft 365 through single sign-on with Microsoft Entra ID, approval cards and alerts in Teams, documents stored in SharePoint libraries linked to ERP records, and Excel or Power BI reports refreshed from live data. Dynamics 365 has the deepest native links, but Zoho, Odoo and ERPNext also connect via SSO, Power Automate, webhooks and APIs.

  • Disabling a Microsoft account can also close the user's ERP access when SSO is used.
  • Approvals made in Teams must still be logged in the ERP with approver and timestamp.
  • Microsoft has been retiring basic authentication in Exchange Online, so ERP email should use OAuth.
  • Supplier and tax invoices stored in SharePoint should be retained for at least five years.

Why connect your ERP to Microsoft 365

ERP Microsoft 365 integration UAE companies look for is less about one feature and more about removing the switching between tools. Most UAE offices already run on Microsoft 365: Entra ID accounts for every employee, Outlook for email, Teams for internal chat and calls, SharePoint and OneDrive for files, Excel for every report finance produces. The ERP holds the transactions, but approvals, discussions and documents happen around it in Microsoft 365.

Integration links the two. Staff sign into the ERP with their Microsoft account, managers approve purchase requests from a Teams notification, supporting documents for invoices and contracts are stored in SharePoint libraries with the ERP record linked, and Excel workbooks pull live figures from the ERP instead of last week's export. When someone leaves, disabling their Microsoft account also closes their ERP access.

Dynamics 365 has the deepest native ties, since it is part of the same Microsoft cloud; see our Microsoft Dynamics 365 page. Zoho, Odoo and ERPNext connect through add-ins, single sign-on and APIs. Email and calendar specifics are covered separately on ERP Outlook integration, and the CRM angle on Zoho CRM Microsoft 365 integration.

Why connect your ERP to Microsoft 365
  • Single sign-on with Microsoft Entra ID and central user offboarding
  • Approval requests and alerts delivered in Microsoft Teams
  • Contracts, delivery notes and supplier documents stored in SharePoint
  • Excel and Power Automate connected to live ERP data
The Challenge

What happens when ERP and Microsoft 365 stay separate

Problems we see in UAE offices running a standalone ERP next to Microsoft 365.

Separate passwords and forgotten leavers

ERP users have their own logins. When an employee leaves, IT disables the Microsoft account but the ERP account stays active, sometimes for months.

Approvals stuck in inboxes

A purchase request waits because the approver never opens the ERP. Reminders go by WhatsApp or phone and nothing is logged.

Documents in the wrong place

Signed LPOs, trade licenses and supplier contracts sit in personal OneDrive folders or email attachments, so auditors and colleagues cannot find them from the ERP record.

Excel copies of everything

Finance exports ledgers to Excel to build management packs, then numbers diverge from the ERP as late postings arrive.

Shadow workflows

Teams build their own Forms, Lists and Power Automate flows that never write back to the ERP, creating a second, unofficial system.

Methods and connectors

We use native options first and Power Automate or APIs where they are missing. More platform detail is on Dynamics 365 integration and Odoo integration.

  • Microsoft Entra ID single sign-on (SAML or OpenID Connect)
  • Dynamics 365 apps for Outlook and Teams
  • Business Central Excel add-in
  • Zoho CRM for Microsoft Teams and Outlook
  • Odoo Outlook add-in and Microsoft calendar sync
  • Frappe social login with Microsoft for ERPNext
  • Power Automate with standard or custom connectors
  • Microsoft Graph API for files, users and Teams messages
  • SharePoint document libraries
  • Teams incoming webhooks for alerts
How It Works

How we implement it

We start with identity, because everything else depends on it, then add the collaboration pieces people will actually use.

01

Set up identity

Register the ERP in Entra ID, configure SSO and MFA, and agree how new joiners and leavers flow to ERP users and roles.

02

Pick the high-value approvals

Choose two or three approval types with real delays, such as purchase requests, expense claims or discount approvals, and move them into Teams first.

03

Design the document structure

Define SharePoint libraries, naming and retention per document type, and link each file to its ERP record.

04

Connect Excel and reporting

Replace manual exports with refreshable Excel connections or Power BI datasets for the reports finance uses every month.

05

Train and govern

Train users on the new flow and agree who may build Power Automate flows that touch ERP data.

UAE Compliance

Security and compliance considerations

Microsoft 365 integration touches identity and documents, so controls matter as much as convenience.

Access control and audit trail

Approvals made in Teams must still be logged in the ERP with the approver's identity and timestamp, so segregation of duties and audit trails hold up.

Personal data and residency

Employee and customer data moving to SharePoint or Teams is covered by the UAE PDPL. Check your Microsoft 365 tenant's data location and set retention and sharing policies accordingly.

Tax document retention

Supplier invoices, tax invoices and contracts stored in SharePoint should be retained for at least five years (longer for real estate records) and protected from deletion.

Modern authentication for email

Microsoft has been retiring basic authentication in Exchange Online, so ERP systems that send email through Microsoft 365 should use OAuth rather than stored passwords.

Business Benefits

What teams gain

Benefits depend on adoption. These are the outcomes we design for.

Faster approvals

Approvers act from Teams notifications, a pattern that also suits document approval automation.

Cleaner offboarding

Disabling a Microsoft account removes ERP access at the same time.

Findable documents

Every invoice, PO and contract has its file one click away from the ERP record.

Fewer stale spreadsheets

Excel reports refresh from the ERP instead of relying on copied exports.

FAQs

ERP Microsoft 365 integration FAQs

Still have a question? Our consultants are happy to help.

Ask an Expert
Do we need Dynamics 365 to integrate with Microsoft 365?

No. Dynamics 365 has the most native connections, but Zoho, Odoo and ERPNext also support Microsoft sign-in, Outlook add-ins or calendar sync, and API-based integration with Teams and SharePoint. The depth differs, so we compare options against the workflows you care about.

Can managers approve ERP transactions in Teams?

Yes. Dynamics 365 offers Teams integration directly, and other ERPs can send approval cards through Power Automate or a webhook, with the decision written back to the ERP through its API.

Should ERP attachments be stored in SharePoint?

It often makes sense for large files, contracts and documents shared outside finance. Smaller attachments can stay in the ERP. The key is one agreed location per document type, linked from the ERP record.

Is single sign-on secure enough for finance users?

Single sign-on with Entra ID usually improves security, because MFA, conditional access and account disabling are managed centrally. ERP roles still control what each user can do once signed in.

What if our company uses Google Workspace instead?

The same ideas apply with different tools; see ERP Google Workspace integration.

Can Power BI reports appear in Teams?

Yes. Reports built on ERP data can be pinned as Teams tabs. The data side is covered in ERP Power BI integration.
