An ERP Outlook integration in the UAE links Microsoft Outlook (desktop, web and mobile, usually on Exchange Online through Microsoft 365) with the ERP that holds your customers, vendors, quotations, sales orders and invoices. In a typical Dubai trading or services company, a salesperson receives an RFQ by email, retypes it into the ERP, sends the quotation back as a PDF attachment from Outlook, and then the follow-up thread lives only in that salesperson's mailbox. When they go on leave or resign, the history goes with them.

A proper integration does three jobs. It logs selected emails and attachments against the right ERP record (lead, customer, vendor, purchase order, project). It lets users act on ERP data from inside Outlook, such as looking up a customer's credit status or creating a quotation from an email. And it keeps meetings and tasks in step between the Outlook calendar and the ERP activity list, so a sales manager sees real follow-ups, not guesses.

Customer history locked in personal mailboxes

Price negotiations, delivery promises and payment commitments are agreed by email but never reach the ERP. When an account manager leaves, the replacement starts with an empty history and has to ask the customer what was agreed.

Double entry of RFQs and purchase orders

Sales coordinators copy item codes and quantities from customer emails into quotations by hand. Typos in quantities or unit prices lead to wrong deliveries, credit notes and avoidable disputes.

Collections chased without context

The credit controller sends reminders from Outlook but cannot see that the customer already disputed the invoice in a separate thread with sales. Two people give the customer two different answers.

Approvals that live in email

Discount approvals and purchase approvals are given as 'OK, go ahead' replies. There is no link between the approval and the document, which weakens the audit trail your auditor expects to see.

Calendars out of step with follow-ups

Site visits and client meetings are booked in Outlook while follow-up tasks sit in the ERP. Managers cannot see whether the meeting happened or what came out of it.

Personal data (PDPL)

Federal Decree-Law 45 of 2021 governs personal data. Log only business-relevant emails, restrict who can open logged threads, and agree retention. Our PDPL and ERP data protection guide covers the controls.

Tax invoices sent by email

A PDF tax invoice emailed from Outlook must still carry the TRN and the prescribed VAT fields. Generate it from the ERP rather than editing a Word template, so the issued invoice matches the ledger.

E-invoicing changes delivery

Under the coming PINT AE model, B2B invoices in scope will be exchanged through Accredited Service Providers, not as email attachments. Emailing a PDF copy will be a courtesy, not the legal invoice. See UAE e-invoicing and check the latest MoF and FTA guidance.

Record retention

Tax records must generally be kept for at least 5 years (7 for real estate). Correspondence that supports a transaction is easier to produce in an audit when it is attached to the ERP document.

Does every email get copied into the ERP?

No, and it should not. We usually set up user-driven logging from the add-in plus rules for specific shared mailboxes or customer domains. Internal emails, HR matters and newsletters stay out of the ERP.

Will this work with Outlook on Mac and mobile?

Modern Outlook add-ins built on the web add-in model generally run in Outlook on Windows, Mac and the web, and some on mobile. Support varies by vendor and add-in, so we test on the devices your team actually uses before rollout.

We use Gmail for some staff and Outlook for others. Is that a problem?

Which platform has the tightest Outlook integration?

Do we need Exchange Online, or does on-premises Exchange work?

Most current add-ins and the Microsoft Graph API are designed around Exchange Online. On-premises Exchange may need a different method, such as IMAP polling or a hybrid setup, and some features may not be available. We check this in discovery.

Can customers reply to an ERP-sent invoice and have the reply logged?

Yes, if the email is sent with a tracking reference or from a monitored mailbox. Replies are then matched to the invoice or customer record, which helps the credit control team see disputes early.
