How does an ERP system help different managers in a UAE company?

An ERP helps each manager differently: the CEO and CFO see cash, margin, receivables and pipeline on one screen; accountants handle bank reconciliation, VAT returns and the close; buyers run requisitions and RFQs; warehouse staff handle receiving, picking and counts; HR prepares WPS payroll. Zoho, Odoo, ERPNext and Dynamics 365 all support role-based dashboards, and light users can often use cheaper licences or portals.

  • Zoho, Odoo, ERPNext and Dynamics 365 all support role-based home screens and reports.
  • Staff who only approve or submit requests can often use cheaper licence types or portals.
  • HR officers in the UAE prepare the monthly WPS salary file through the ERP payroll module.
  • Power BI or Zoho Analytics can add deeper role-based reporting on top of ERP data.

Why look at ERP role by role

Software demos tend to show modules. People in your company experience ERP through their own work: the AP clerk matching supplier invoices to GRNs, the buyer chasing three quotations for an RFQ, the storekeeper receiving a container at Jebel Ali, the HR officer preparing the monthly WPS salary file. Reading about ERP by role UAE managers recognise makes it easier to judge whether a system will actually help.

Each guide in this section starts with a typical week for that role in a UAE company, lists the pain points that come from spreadsheets and disconnected tools, then shows the dashboard the role would use, the features that matter most, the recurring process the ERP supports and how Zoho, Odoo, ERPNext and Dynamics 365 fit that role.

The guides are useful in two situations: when a department head needs to be convinced that ERP is worth the change, and when you are writing requirements and want to capture what each team needs. Pair them with the ERP by company size guides to see how scope changes with headcount.

Role guides also expose hand-offs, which is where most errors happen. A purchase request moves from a site engineer to a buyer, then to a storekeeper for the GRN and to an AP clerk for the supplier invoice. When each person works in a different spreadsheet, nobody owns the whole chain. In an ERP each role sees the same document at its own stage, with approval limits and an audit trail, which is why the operations manager guide focuses on these hand-offs.

Why look at ERP role by role
  • Leadership: CEO and CFO views
  • Finance: finance managers and accountants
  • Operations: procurement, warehouse, inventory, supply chain, manufacturing
  • Commercial, people and projects: sales, HR, project, construction and facility managers

Use the role guides to gather requirements

A simple way to turn these pages into a requirements workshop.

  • Send each department head the guide for their role before the workshop
  • Ask them to mark which pain points apply and add missing ones
  • List the reports they rebuild every week or month
  • Identify approvals they give today by email or WhatsApp
  • Note documents they print, sign or scan
  • Record UAE-specific needs: VAT, WPS, gratuity, free zone rules
  • Agree which dashboard tiles they would check daily
  • Consolidate everything into one requirements list for vendors

FAQs

ERP by role: common questions

Still have a question? Our consultants are happy to help.

Ask an Expert
Does every role need a full ERP licence?

Not always. Many platforms offer cheaper licence types or portals for staff who only approve, view or submit requests, such as site engineers raising material requests or employees applying for leave. Licence rules differ by platform and edition.

Can each role have its own dashboard?

Yes. Zoho, Odoo, ERPNext and Dynamics 365 all support role-based home screens and reports, and Power BI or Zoho Analytics can add deeper views. Our business dashboards section shows examples by role.

How do we stop people seeing data they should not?

Through role-based access rights, record rules and approval limits. Finance, payroll and salary data in particular should be restricted, and changes logged in the audit trail.

Which role should own the ERP project?

Usually a senior operations or finance leader with authority across departments, supported by a key user from each team. The role guides help each key user explain what their team needs.

Do you train users by role?

Yes. We run training per role using the company's own data and processes, so the AP clerk, buyer and storekeeper each learn the screens and steps they will use.
