Twelve proven workflows that remove chasing, re-keying and email approvals from finance, sales, procurement and projects, each explained in its own guide.
UAE companies most often automate rule-based ERP processes that currently run on email, WhatsApp and spreadsheets: supplier invoice approvals, order-to-cash, lead follow-up, supplier onboarding, project timesheets and contract workflows. Examples include a three-way match of purchase order, goods received note and supplier invoice, a credit-limit check before delivery, and an approval matrix that routes high-value POs to finance. Automation works only on processes the team has agreed.
This hub collects the ERP automation use cases UAE companies ask us about most often. Each one is a recurring process that today runs on email threads, WhatsApp messages and spreadsheets: a supplier invoice waiting for a manager's signature, a sales order typed twice, a customer who was promised a follow-up call that never happened. Automating these inside the ERP means the rule is applied the same way every time, the right person is notified, and the record shows who approved what and when.
Good automation is narrow and rule-based. A three-way match between the purchase order, the goods received note and the supplier invoice is a rule. A credit-limit check before a delivery note is released is a rule. An approval matrix that sends any PO above a threshold to the finance manager is a rule. What we avoid is automating a process nobody has agreed on: if your team argues about who signs off a variation order, software will only make the argument faster. That is why every guide here starts with the manual problem, then shows the trigger, the condition, the action and the human exception step.
The use cases below are platform-neutral, but each guide explains how Zoho, Odoo, ERPNext and Dynamics 365 handle the flow. If you already run one of these systems, start with the guide closest to your bottleneck. If you are still choosing, read our overview of ERP workflow automation and the services our ERP automation team provides, from mapping to build and support.

The twelve guides fall into six groups. Pick the group that matches the work your team repeats every week.
Route supplier bills by amount, cost center and match status with invoice approval automation, and raise compliant, budget-checked orders through purchase order automation.
Turn accepted quotations and web orders into sales orders with stock and credit checks using sales order automation, then chase overdue balances with payment reminder automation on a polite schedule.
Assign enquiries by emirate, product line or language with lead assignment automation, and keep promised calls on track through customer follow-up automation.
Vendor onboarding automation collects the trade licence, TRN certificate and bank letter, tracks expiry dates and blocks payment until the vendor record is approved.
Gate new projects and budget changes with project approval automation, and stop billing disputes by approving hours weekly via timesheet approval automation.
Version-controlled sign-off for agreements via contract approval automation and policies via document approval automation, plus a guide to building your own with no-code workflow automation.
Most UAE SMEs get better results from one well-run automation than from ten half-configured ones. This is the order we usually follow.
List the processes where someone sends a reminder more than once a week. Approval queues for supplier invoices and purchase orders usually top the list.
For example: any PO above the department limit goes to the finance manager, and nothing is ordered from a vendor without an approved TRN on file. If you cannot write the rule, fix the policy first.
Automation depends on clean masters: approver hierarchy, cost centers, item codes, customer credit limits and vendor records. Gaps here cause most failed rollouts.
Every flow needs a route for the case the rule does not cover, such as a delegate approver during leave or a manual override with a reason recorded.
Track queue length and approval age for a month before adding the next flow. Our process automation service follows this staged approach.
Use this table as a shortcut from the symptom you see today to the guide that covers it.
| If your problem is... | Read this guide | What the automation does |
|---|---|---|
| Supplier invoices sit in inboxes waiting for a signature | Invoice approval automation | Matches bill to PO and GRN, routes by amount and cost center, escalates when overdue |
| Staff order from suppliers without budget checks | Purchase order automation | Converts approved requisitions to POs and applies a value-based approval matrix |
| Orders are re-typed from emails, quotes or the webshop | Sales order automation | Creates the sales order, checks stock and credit limit, notifies the warehouse |
| Leads wait hours before anyone calls back | Lead assignment automation | Assigns by territory, product or round robin and alerts the owner instantly |
| Customers pay late and nobody owns collections | Payment reminder automation | Sends statement and reminder sequences by ageing bucket, pausing on disputes |
| New suppliers are paid before their documents are checked | Vendor onboarding automation | Collects licence, TRN and bank details, approves, and tracks expiry |
| Client billing disputes over unapproved hours | Timesheet approval automation | Locks weekly timesheets after manager approval and feeds billing |
| Contracts are signed on outdated versions | Contract approval automation | Routes drafts to legal and finance, records versions, triggers e-signature |
Payroll runs and WPS salary files are covered separately in our payroll automation guide.

Ask an ExpertUsually supplier invoice or purchase order approval, because the rule is clear, the volume is steady and finance feels the delay every month. Lead assignment is a close second for sales-led companies. Start with one, measure approval age for a few weeks, then add the next.
Most approval and notification rules are built into Zoho, Odoo, ERPNext and Dynamics 365. Cross-system flows, for example a web form creating a vendor record and a document folder, may need a tool such as Zoho Flow, Power Automate or n8n. Our Zoho automation guide shows what Zoho covers natively.
No. The aim is to send the right record to the right approver with the facts attached, and to escalate when it is ignored. Segregation of duties still matters, so the person who creates a vendor or payment should not be the only one who approves it.
AI helps with reading documents, suggesting GL codes or drafting follow-up emails, while the rule engine still decides routing. A person reviews AI suggestions before posting. See ERP AI automation for realistic capabilities.
Automation does not change the content of a tax invoice; the ERP template does. Make sure your invoice and credit note templates carry the required fields and TRN, and keep the approval history as part of your records. Confirm specific rules with your tax advisor.
