What is the best ERP for a facility management company in Dubai?

The best ERP for facility management in the UAE depends on the FM model. Integrated FM firms often shortlist Odoo for connected field service, maintenance and accounting, or Dynamics 365 Field Service with Business Central for larger groups, while smaller hard FM firms often do well with Zoho FSM, Desk and Books. The ERP should link every work order to a contract, technician and cost.

  • Hard FM relies on PPM schedules, asset history, spare parts and compliance certificates.
  • Soft FM costs are mostly manpower, rosters and consumables for cleaning, security and landscaping.
  • Many small and mid-sized FM firms run work orders and PPMs inside the ERP without CAFM.
  • Helpdesk and field service modules can compare response and resolution times against contract SLAs.

What the best ERP for facility management in the UAE needs to connect

Choosing the best ERP for facility management in the UAE begins with what kind of FM company you run. Hard FM providers maintain MEP systems, HVAC, lifts and fire safety, so they live on planned preventive maintenance (PPM) schedules, asset histories and spare parts. Soft FM providers supply cleaning, security, pest control and landscaping, so their cost is mostly manpower, rosters and consumables. Integrated FM firms do both under one contract and need both views at once.

Many FM companies start with a CAFM tool for work orders and a separate accounting package. That works until finance needs to know the real margin on a contract, or HR needs to reconcile rosters with WPS payroll. A connected ERP closes that gap by linking contracts, assets, work orders, timesheets, purchases and invoices. For the process view, see ERP for facility management companies.

Disclosure: we implement Zoho, Odoo, ERPNext, Microsoft Dynamics 365 and custom ERP. We do not implement standalone CAFM products. Some FM firms are well served by a CAFM tool plus an ERP, and we explain when that makes sense.

What the best ERP for facility management in the UAE needs to connect
  • Hard FM: PPM schedules, asset history, spare parts and compliance certificates
  • Soft FM: manpower rosters, attendance, consumables and site supervision
  • Integrated FM: contract profitability across both, under one SLA

Facility management ERP criteria to test

FM operations are field-heavy, so test each point on a phone as well as a desktop.

  • Contract setup for annual maintenance contracts (AMCs) with scope, sites, assets, SLA response times and billing frequency
  • Asset register per site with location, make, model, warranty and full maintenance history
  • PPM schedules generated by calendar or meter readings, with checklists technicians complete on mobile
  • Reactive work orders from client calls, email or portal, with priority, SLA clocks and escalation
  • Technician mobile app with job details, photos, customer signature and spare parts used
  • Manpower rosters for soft FM staff by site and shift, linked to attendance and payroll
  • Spare parts and consumables stock in vans, site stores and the main warehouse
  • Contract profitability: revenue against labor, parts, subcontractor and overhead cost per contract and site
  • Billing for fixed AMC fees plus chargeable call-outs and parts outside scope
  • Client-facing reports on SLA compliance, completed PPMs and open issues

How It Works

How FM companies should choose their ERP

FM selections succeed when operations, HR and finance agree what one contract should look like in the system.

01

Model one contract completely

Pick your most representative contract and write down its sites, assets, PPM frequency, SLA times, manpower and billing terms. Every demo should use it.

02

Decide CAFM plus ERP or one system

If your buildings are complex and clients demand deep asset data, a CAFM tool with ERP integration may be right. If margin and manpower are the main pain, one ERP is usually simpler.

03

Test the technician day

Give a technician a phone with each candidate app and let them close a PPM with photos and parts. Adoption on site decides data quality in finance.

04

Check manpower and payroll flow

Soft FM margins depend on accurate rosters and attendance. Confirm the system can feed hours into WPS payroll and charge labor cost to contracts.

05

Plan asset data collection

Asset registers are often incomplete. Budget time for site surveys and QR or barcode tagging before go-live, especially for hard FM.

UAE Compliance

UAE compliance areas for FM ERP

FM firms carry large workforces and many recurring invoices. Confirm tax treatment with your tax advisor.

VAT on AMC and call-out billing

FM services are generally subject to 5% VAT administered by the FTA. Recurring AMC invoices and ad hoc call-outs both need tax invoices with your TRN and the prescribed fields, and returns are filed on EmaraTax.

WPS payroll for site staff

Soft FM firms often run large workforces paid through MOHRE's Wage Protection System using a Salary Information File. Overtime, allowances and end-of-service gratuity under Federal Decree-Law No. 33 of 2021 should flow from attendance into payroll.

Corporate tax and contract margins

Corporate tax under Federal Decree-Law No. 47 of 2022 is 9% on taxable income above AED 375,000. Clean contract-level cost allocation helps support your accounts and management decisions.

E-invoicing for recurring B2B billing

Monthly AMC invoices to companies and building owners will move to e-invoicing through Accredited Service Providers using PINT AE from 2027, by revenue size. Check the latest Ministry of Finance and FTA guidance.

Facility management ERP questions

Still have a question? Our consultants are happy to help.

Ask an Expert
What is the best ERP for a facility management company in Dubai?

Integrated FM firms often shortlist Odoo for its connected field service, maintenance and accounting apps, or Dynamics 365 Field Service with Business Central for larger groups. Smaller hard FM firms often do well with Zoho FSM and Zoho Books. Fit depends on service mix and technician count.

Do we still need a CAFM system if we buy an ERP?

Not always. Many small and mid-sized FM firms run work orders, PPMs and assets inside the ERP. Large estates with complex building data may keep a CAFM tool and integrate it with ERP for finance, payroll and purchasing.

Can the ERP track SLA response and resolution times?

Yes. Helpdesk and field service modules can record when a call is logged, assigned, attended and closed, then compare against contract SLAs. Client-facing SLA reports usually need some configuration.

How do we see profit per FM contract?

Link each work order, timesheet, parts issue and subcontractor bill to the contract and site. The ERP can then compare AMC revenue and chargeable work against actual cost. This is the report most FM owners ask for first.

How long does an FM ERP implementation take?

A focused rollout for work orders, technicians and billing often takes 8 to 12 weeks. Adding payroll for large soft FM workforces, asset tagging and integrations often extends it to 4 to 6 months.

Can technicians work offline on site?

Basement plant rooms often lack signal. Offline support varies by app and version, so test it on site during the demo. Our field service software guide covers what to check.
