What is the best ERP for hotels in the UAE?

The best ERP for UAE hotels runs the back office behind the property management system rather than replacing it. Dynamics 365 Business Central often suits hotel groups and owning companies for its dimensions and consolidation, while independent hotels and hotel apartments frequently choose Odoo. Key tests are posting the night audit revenue journal, handling city ledger and producing USALI-style owner reports.

  • Reservations, check-in, room status and guest folios belong in the hotel PMS, not the ERP.
  • PMS data usually reaches the ERP as a daily journal after night audit, via API or file import.
  • USALI departmental reporting is a configuration task that should be planned at project start.
  • Hotel ERP stores and purchasing issue goods to housekeeping, kitchens and engineering departments.

The hotel question is PMS plus what, not PMS or ERP

When owners and finance directors ask us for the best ERP for hotels in the UAE, the first thing we clarify is scope. Reservations, check-in, room status and guest folios belong in a property management system (PMS). Very few general ERPs replace a hotel-grade PMS well, and we do not recommend trying. The ERP's job is everything behind it: general ledger, payables, procurement, stores, payroll, fixed assets, and the reports that go to owners and operators.

That changes how you compare products. The deciding factors become how cleanly the nightly revenue journal from the PMS posts to the ledger, how city ledger (accounts receivable from corporate and travel agent accounts) is handled, how stores issue to housekeeping, kitchens and engineering, and whether the chart of accounts can produce reports in the USALI format that many owners and lenders expect.

This guide covers full-service hotels, hotel apartments and resort properties across Dubai, Abu Dhabi, Ras Al Khaimah and Fujairah. For broader hospitality groups that also run standalone restaurants or travel businesses, our hospitality ERP page and restaurant ERP buying guide go further.

The hotel question is PMS plus what, not PMS or ERP
  • Night audit revenue posted to the ledger automatically
  • City ledger and guest deposits handled correctly
  • Stores and purchasing across all departments
  • Owner reporting by department and by property

What to look for in a hotel back office ERP

Use these criteria when you run vendor demos. Ask each vendor to work through a sample night audit file from your PMS.

  • A tested integration pattern for your PMS: revenue, payments, deposits and city ledger transfers
  • Departmental accounting for rooms, F&B, spa, laundry, and other operated departments
  • Chart of accounts and report layouts that can follow USALI conventions
  • Central stores with requisitions from housekeeping, kitchens, minibar and engineering
  • Purchase approval limits by department head, financial controller and general manager
  • Fixed asset register for FF&E with depreciation and replacement planning
  • Multi-property and multi-company consolidation for owners with several hotels
  • Payroll that handles service charge distribution, staff accommodation and WPS files
  • Budget versus actual by department and by month for owner meetings

How It Works

How hotels should run the selection

Hotel finance teams work to fixed owner deadlines, so the selection should prove month-end first.

01

List every PMS output

Collect the night audit reports your PMS can export: revenue by department and market segment, payments by type, advance deposits, city ledger transfers. These define the integration.

02

Agree the chart of accounts early

Decide whether you follow USALI fully or a simplified version. Rebuilding the chart after go-live is expensive.

03

Walk a requisition through stores

Ask each vendor to show a housekeeping requisition, a stores issue, and the cost landing in the right department's P&L.

04

Prove the owner pack

Request a monthly owner report from demo data: departmental results, GOP, budget variance and key statistics fed from the PMS.

05

Plan around the season

Go live in a shoulder month, not in peak winter season. Hotel back office projects often run 8-14 weeks depending on properties and integrations.

UAE Compliance

Hotel-specific UAE compliance in the ERP

Hotel billing includes taxes and fees that must stay separate from revenue. Confirm the current rates and rules for your emirate with your tax advisor.

VAT on rooms and services

Room nights, F&B and services generally carry 5% VAT. The PMS issues guest folios, while the ERP must record VAT correctly for the EmaraTax return and hold supplier tax invoices for input tax.

Tourism Dirham and municipality fees

Dubai collects a Tourism Dirham charge per occupied room night, and emirates apply their own tourism and municipality fees. These are liabilities you pass on, so the ERP should post them to separate payable accounts.

Corporate tax and related parties

Management fees, owner charges and intercompany recharges between hotel companies need clear records for corporate tax and transfer pricing support.

WPS payroll

Hotels employ large teams paid through WPS. The payroll module should produce the Salary Information File and track end-of-service gratuity under Federal Decree-Law No. 33 of 2021.

E-invoicing for corporate accounts

B2B invoices to corporate clients and travel agents fall under the coming e-invoicing mandate via an Accredited Service Provider. Check the latest Ministry of Finance and FTA timelines for your revenue band.

FAQs

Hotel ERP questions

Still have a question? Our consultants are happy to help.

Ask an Expert
What is the best ERP for hotels in the UAE?

For hotel groups and owning companies, Dynamics 365 Business Central is often the strongest back office because of its dimensions and consolidation. Independent hotels and hotel apartments frequently choose Odoo for its breadth at a lower total cost. In both cases the PMS stays in place.

Can an ERP replace our property management system?

In most cases, no. Hotel PMS products handle reservations, rate plans, channel managers and guest folios at a depth general ERPs do not match. We integrate the PMS with the ERP rather than replace it.

How does PMS data reach the ERP?

Usually through a daily journal after night audit: revenue by department, payments by method, deposits and city ledger movements. Depending on the PMS, this is an API connection or a structured file import that is checked before posting.

Does the ERP support USALI reporting?

The platforms we implement can be configured with a chart of accounts and report layouts that follow USALI departmental structure. It is a configuration task, so plan it at the start of the project.

How do hotels handle service charge distribution in payroll?

Where a property distributes service charge, payroll can calculate each employee's share from a pool using points or days worked, then include it in the WPS salary file. Policies vary, so we configure the rule your HR team uses.
