ERP SMS Integration for UAE Businesses

SMS still reaches customers who ignore email and do not use WhatsApp for business messages. We connect your ERP to an SMS gateway so the right message goes out when a document changes status, with proper sender IDs and opt-out handling.

How can an ERP send automatic SMS alerts to customers in the UAE?

ERP SMS integration in the UAE links ERP events, such as an order dispatched, an invoice overdue or a service visit scheduled, to an SMS gateway that sends a templated message through UAE mobile networks. The ERP decides when and what to send, the gateway returns delivery reports logged on the record, and promotional messages follow TDRA sender ID and consent rules.

  • Promotional SMS in the UAE is regulated by TDRA, including sender ID registration.
  • Arabic SMS uses Unicode, allowing fewer characters per billable message part.
  • ERPNext includes configurable SMS Settings for an HTTP gateway.
  • Transactional alerts should run on a separate route from promotional campaigns.

Where SMS fits in a UAE ERP

An ERP SMS integration in the UAE connects ERP events, such as a sales order being dispatched, an invoice falling overdue or a service job being scheduled, to an SMS gateway that delivers a short text to the customer, driver, technician or employee. The ERP decides when to send and what to say; the gateway handles delivery through UAE mobile networks and returns a delivery status.

SMS is not a replacement for WhatsApp. Many UAE businesses use both: WhatsApp for conversations and rich documents, SMS for short transactional alerts and one-time passwords that must arrive even when the recipient has no data connection. If two-way chat with customers is the goal, read ERP WhatsApp integration. This page focuses on automated, event-driven SMS.

The rules matter here. Sender IDs (the name that appears instead of a number) are registered through licensed providers, and promotional messages are regulated by the Telecommunications and Digital Government Regulatory Authority (TDRA). A good integration keeps transactional and promotional messages apart, so a payment reminder is never treated as marketing.

Where SMS fits in a UAE ERP
  • Delivery, collection and appointment alerts from ERP status changes
  • OTPs for customer portals and delivery confirmation
  • Registered sender ID and opt-out handling
  • Delivery reports written back to the ERP record
The Challenge

What goes wrong without an integrated SMS gateway

Teams that send SMS manually or from a separate bulk portal run into the same issues.

Manual messages from personal phones

Dispatchers and collectors text customers from their own mobiles. The company has no record of what was promised, and customers end up with staff personal numbers.

Bulk portal uploads

Someone exports overdue invoices to Excel and uploads a CSV to the SMS provider's portal. It happens when they remember, the list is stale by the time it is sent, and customers who already paid get reminders.

Wrong message type

Payment reminders sent through a promotional route can be delayed, blocked or shown with an advertising prefix. That damages trust with customers you are trying to collect from.

No delivery evidence

When a customer says they never received the delivery slot or the OTP, there is no delivery receipt linked to the order to check against.

Phone numbers in the wrong format

Numbers stored as 05x, 9715x or with spaces fail at the gateway. Without validation in the ERP, a share of messages silently never leave.

ERP Workflow

How an ERP-triggered SMS travels

The flow below is typical for transactional alerts. Promotional campaigns follow a separate, consent-checked path.

  1. 1ERP status changes
  2. 2Rule checks conditions
  3. 3Template filled with data
  4. 4Number validated (+971)
  5. 5Gateway API call
  6. 6Delivery report returned
  7. 7Status logged on record

One shared database: every step updates stock, finance and reports in real time.

Typical SMS triggers and what syncs

Start with three or four high-value alerts. Each one needs a template, an owner and a rule for when not to send.

Connection methods by platform

Each platform reaches a gateway differently. Check current editions and app availability before committing.

  • SMS gateway REST APIs from UAE-licensed providers
  • International gateways with UAE sender ID support
  • ERPNext SMS Settings (configurable HTTP gateway)
  • Odoo SMS app and gateway connector modules
  • Zoho marketplace SMS extensions
  • Zoho Flow
  • Dynamics 365 Customer Insights SMS providers
  • Power Automate connectors
  • Make or n8n workflows
  • Webhooks for delivery reports
  • Custom middleware for high volumes
How It Works

How we set it up

SMS is usually a small piece of a larger ERP integration project, but it needs its own checks before go-live.

01

Pick the events and write templates

We agree which ERP events send SMS, write short templates in English and Arabic where needed, and keep them under the single-message length to control cost.

02

Choose a gateway and register the sender ID

You contract the SMS provider; we help compare routes, API features and delivery reports. Sender ID registration and any TDRA requirements are completed through the provider.

03

Clean phone data

We validate and normalize mobile numbers to the +971 international format in the ERP, and add a field for SMS consent and opt-out status.

04

Build rules and suppression logic

Every rule has an exception: no reminder if a payment is pending reconciliation, no delivery alert for cancelled orders, no messages at night.

05

Test with real handsets

We test on e& and du numbers, check Arabic rendering and delivery reports, then switch on rule by rule.

UAE Compliance

UAE rules that shape SMS integration

Regulations change, so confirm current requirements with your SMS provider and legal advisor before launch.

TDRA rules for commercial messages

Promotional SMS is regulated by TDRA, including sender ID registration, an advertising prefix on the sender name and permitted sending hours. Keep transactional alerts on a transactional route and check the latest TDRA requirements with your provider.

Consent and opt-out under PDPL

Mobile numbers are personal data. Record why you hold each number, honor opt-outs and restrict exports. Our PDPL and ERP page explains the ERP controls.

Messages about tax invoices

An SMS saying an invoice is due is not a tax invoice. The VAT-compliant invoice is still issued from the ERP, and from the e-invoicing go-live dates, B2B invoices in scope move through an Accredited Service Provider. Check the latest MoF and FTA guidance.

OTP and security

OTPs used for portal access or proof of delivery should expire quickly and never be stored in plain text in the ERP or the gateway logs.

Business Benefits

Benefits you can expect

What a well-run SMS integration typically improves, without invented figures.

Fewer failed deliveries

Customers who know the delivery slot are more likely to be on site, which cuts return trips for the fleet.

Earlier payments

Timely, polite reminders tied to real ERP balances support the work of credit control. See payment reminder automation for the full flow.

Evidence on the record

Delivery reports on the order or invoice settle 'I never got it' conversations quickly.

Less manual messaging

Dispatchers and collectors stop texting from personal phones, and the company owns the conversation.

FAQs

ERP SMS integration FAQs

Still have a question? Our consultants are happy to help.

Ask an Expert
Can we send SMS in Arabic from the ERP?

Yes. Arabic uses Unicode encoding, which allows fewer characters per message than English, so long Arabic templates can split into several billable parts. We size templates to keep costs predictable.

Do we need our own sender ID?

For a professional result, yes. Messages from a registered alphanumeric sender ID such as your brand name are more trusted than random numbers. Registration goes through your SMS provider and can take some time, so start early.

Should we use SMS or WhatsApp for delivery updates?

Many UAE companies use both: SMS as the reliable fallback and WhatsApp for richer updates and replies. If you sell online, alerts usually start in the store or ERP order flow covered in ERP Shopify integration.

Can customers reply to an SMS?

Only if you use a two-way number or a provider feature that supports inbound messages. Alphanumeric sender IDs are one-way. Most ERP alerts are one-way, with a phone number or link for replies.

Which ERP platforms support SMS natively?

ERPNext has a configurable SMS gateway setting, Odoo has an SMS app, and Zoho and Dynamics 365 typically use extensions or provider connectors. Details differ by version, so we confirm for your edition. Platform-specific options are covered on our Odoo integration and ERPNext integration pages.

Can SMS be used to send payslips or salary alerts?

A short salary-credited alert is common, but payslip details should go through the employee self-service portal, not SMS. For payroll data flows, see payroll integration.
