CRM migration moves accounts, contacts, leads, opportunities, activities, quotations and attachments to a new system while preserving the links between them. The process is source inventory, field mapping, cleansing and deduplication, a trial load, reconciliation and user checks, then a final delta load and cutover. UAE companies often move from Salesforce, HubSpot or spreadsheets into Zoho, Odoo, ERPNext or Dynamics 365.

What a CRM migration has to protect

CRM migration in the UAE means moving your sales data from one system to another: from spreadsheets into a first CRM, from a standalone CRM into an ERP-integrated one, or between platforms such as Salesforce, HubSpot, Pipedrive, Freshsales and Zoho, Odoo, ERPNext or Dynamics 365. The data is only part of it. The real value lies in the links: which contacts belong to which account, which deals were quoted to whom, and what was said in the last call.

UAE companies switch CRM for practical reasons. Licence costs rise as the team grows, the current CRM does not connect to the accounting system, quotations need VAT handling the old tool lacks, or the company is consolidating onto one ERP. In each case the sales director's question is the same: will my team still see their pipeline and client history on Monday morning?

What goes wrong in CRM migrations

Most migration problems come from rushing extraction and skipping reconciliation.

Broken relationships

Contacts are imported without their account IDs, or deals without their primary contact. Records exist in the new CRM but appear as orphans, and users cannot find history.

Owner and user mapping ignored

Former employees still own hundreds of accounts in the source system. Without a mapping table, records land on the admin user and nobody follows up.

Picklist values that do not match

The old CRM had twelve stages and eight lead sources with inconsistent spelling. Loading them as-is clutters the new pipeline and breaks reports from day one.

Emails and attachments left behind

Quotations, signed proposals and email threads are often the most valuable history. They need a separate extraction path and storage plan.

A long, unclear cutover

Running both systems for weeks means deals are updated in one and not the other. Teams lose confidence in both.

Export limits and API quotas

Some source systems limit exports or API calls by edition. Discovering this a week before go-live delays the whole project.

Migration is a good moment to fix data that compliance depends on. Confirm legal and tax points with your advisors.

Personal data handling

Exports of contact data are processing of personal data under the UAE PDPL. We use secure transfer, limit who handles extracts and delete working copies after sign-off.

Customer TRN and legal names

Migration is when we validate TRN format and legal names on accounts, which feed VAT tax invoices and future PINT AE e-invoices. Check the latest MoF/FTA guidance for required fields.

Record retention

Tax-related records generally need keeping for at least five years (seven for real estate). Data not migrated should be archived in a readable form, not deleted.

Consent status

Marketing and WhatsApp opt-in flags must migrate with the contact so the new CRM does not message people who opted out.

Can we migrate from Salesforce or HubSpot to Zoho CRM?

Yes, both are common moves. We map objects and custom fields, preserve relationships and load through Zoho's import tools or API. Related Zoho moves are covered on our Zoho migration page.

Do you implement Salesforce or HubSpot?

No. We migrate from them and implement Zoho, Odoo, ERPNext or Dynamics 365 as the target, recommending by fit.

How much history should we migrate?

Usually all active accounts and contacts, open deals and two to three years of closed deals and activities. Older data is archived in a searchable format so it stays available for record-keeping.

Can CRM migration happen together with an ERP move?

Will our email history move?

It depends on the source and target. Some email history can be migrated as activities or notes; in other cases we keep it in the mailbox and link key emails. We confirm this in the inventory step.

How long will the sales team be without a CRM?

With a planned cutover, usually a day or two over a weekend. Users log new activity in the new CRM from the go-live morning.
