How does ERP bank integration work with UAE banks?

ERP bank integration in the UAE works in two directions: banks send statements and balances into the ERP for daily reconciliation, and the ERP sends approved supplier payment batches and WPS salary files to the bank. Formats include MT940, CAMT.053 and ISO 20022 pain.001. Post-dated cheques are tracked until clearance, and treasury sees one cash position across banks and currencies.

  • Several UAE banks offer host-to-host file exchange or APIs for corporate clients.
  • For many SMEs, a daily statement file import from each bank gives most of the benefit.
  • Salaries must be paid through MOHRE's Wage Protection System using a Salary Information File.
  • The person who creates a payment batch should not be the one who releases it.

What bank integration covers for a UAE company

ERP bank integration UAE companies need has two directions. Inbound, the bank sends account activity to the ERP: statement lines, balances and sometimes intraday movements. Outbound, the ERP sends instructions to the bank: supplier payment batches, salary files, transfers between accounts. When both directions work, the finance team stops downloading PDFs from five online banking portals and retyping payments into a bank screen.

Most UAE businesses bank with two or more local banks, often with separate AED, USD and EUR accounts, plus a free zone entity with its own accounts. Post-dated cheques are still common in trading, real estate and construction, so cheques received and issued must be tracked until they clear. Salaries go through the Wage Protection System, which means a Salary Information File has to reach the bank or exchange house every pay cycle.

Bank integration is the plumbing; the matching rules and review are the reconciliation process itself, explained on our ERP for bank reconciliation page. Card and online collections are covered under payment gateway integration, and our ERP integrations overview lists other connections.

What bank integration covers for a UAE company
  • Daily statement import from each bank and currency account
  • Supplier payment batches generated from approved bills in the bank's file format
  • WPS salary file produced from payroll and sent through the bank channel
  • PDC register tied to bank deposits and clearing dates
The Challenge

What breaks without bank integration

These issues are typical for UAE SMEs and mid-sized groups still working from bank portals and spreadsheets.

Reconciliation weeks behind

Statements are downloaded and keyed in at month end, so unmatched items are discovered weeks after they happened, when nobody remembers the reason.

Payments typed twice

An approved bill is paid by keying it again in online banking. Wrong IBANs, duplicate payments and payments made before approval all come from this second keying.

No group cash position

Balances across several banks, currencies and entities are collected by phone or screenshots. Decisions on supplier payments and LC margins are made on stale numbers.

PDCs tracked on paper

Post-dated cheques sit in a drawer with a list in Excel. Bounced cheques, early deposits and replacements are missed, and the receivables report is wrong.

WPS files built by hand

Payroll exports a sheet, someone reformats it into the bank's SIF layout, and errors in routing codes or employee IDs cause rejected salary payments.

ERP Workflow

What moves between the bank and the ERP

Formats and channels differ by bank and by your corporate banking agreement. Many UAE banks accept file uploads; some also offer host-to-host or API channels for corporate clients.

How It Works

How we implement bank integration

Bank projects depend on the bank's onboarding as much as the ERP setup, so we start those conversations early.

01

Inventory accounts and channels

List every bank, account, currency and entity, and what each bank offers: portal download, file upload, host-to-host or API.

02

Agree formats with the bank

Get the statement and payment file specifications, test credentials and sign-off process from each relationship manager.

03

Configure matching and payment rules

Set reconciliation rules by reference, amount and partner, and build payment batches only from bills that passed approval.

04

Test with low-value runs

Send a small test payment file and a test WPS file, and compare imported statements line by line with the bank portal.

05

Go live and monitor rejections

Switch accounts on one at a time and review rejected payments and unmatched lines daily during the first month.

UAE Compliance

UAE compliance and control points

These shape the configuration; confirm specific requirements with your bank and advisors.

WPS salary payments

Salaries must be paid through MOHRE's Wage Protection System using a Salary Information File. Generating the SIF from approved payroll in WPS payroll software avoids rekeying and keeps an audit trail.

Segregation of duties

The person who creates a payment batch should not be the one who releases it. ERP approval plus bank-side dual authorization gives two independent checks.

VAT and corporate tax evidence

Bank-matched receipts and payments support VAT and corporate tax records. Keep statements and payment confirmations for at least five years with links to the posted entries.

Data protection and access

Bank credentials and files hold sensitive data. Use encrypted channels, restrict who can download or regenerate files, and follow the UAE PDPL for employee salary data.

Business Benefits

What changes with bank integration

These are typical goals; actual results depend on bank channels and how clean your data is.

Daily reconciliation

Statements are matched every morning, so exceptions are fresh and easy to resolve.

Fewer payment errors

Payments go out from approved bills with validated IBANs, removing the second keying in online banking.

Real cash visibility

Balances across banks and currencies feed the forecast described in ERP for cash flow management.

Smoother payroll runs

The SIF comes straight from payroll, so rejected salary lines become rare and traceable.

FAQs

ERP bank integration FAQs

Still have a question? Our consultants are happy to help.

Ask an Expert
Do UAE banks offer direct ERP connections?

Several UAE banks offer host-to-host file exchange or APIs for corporate clients, usually through their cash management or transaction banking teams. Availability, cost and onboarding time vary by bank and by your relationship, so we confirm with your bank before designing the solution.

Is a statement file import good enough?

For many SMEs, yes. A daily file import from each bank with good matching rules gives most of the benefit. Direct feeds or host-to-host make sense when you have many accounts or high volumes.

Can the ERP create supplier payment files?

Yes. After bills pass approval, the ERP builds a batch in the bank's format with beneficiary IBANs. Treasury releases it in the bank portal. This links closely to accounts payable controls.

How are post-dated cheques handled?

Received PDCs are recorded with their due date in a PDC register, moved to deposited on the due date, and matched to the bank credit when they clear. Returned cheques reopen the invoice and can trigger a follow-up task.

Can one ERP handle accounts in AED, USD and EUR?

Yes. Each bank account is set up in its own currency, statements import in that currency, and the ERP posts exchange differences. Year-end revaluation uses the daily rates imported alongside statements.

Does bank integration include payroll?

It includes sending the WPS file to the bank. The payroll calculation itself sits in HR and payroll; our payroll integration page covers connecting a separate payroll system.
