Send a secure payment link with every ERPNext invoice or order, record the payment the moment the card is charged, and match gateway settlements to your bank without spreadsheets.
ERPNext payment gateway integration creates a Payment Request with a secure link for each invoice or sales order, sends it by email or WhatsApp, and posts a payment entry automatically when the gateway confirms the charge. Gateways in the Frappe Payments app configure directly; regional UAE gateways connect through a custom Frappe app using the provider's hosted payment page API and webhooks.
ERPNext payment gateway integration in the UAE connects ERPNext invoices, sales orders and subscriptions with an online card payment provider, so customers can pay by card or wallet from a link and ERPNext records the payment automatically. For a Dubai consultancy chasing retainers, a training center collecting course fees or a B2B distributor offering card payment on overdue invoices, it removes the step where accounts waits for a screenshot of a transfer and posts the payment by hand.
ERPNext handles this with the Payment Request document and Payment Gateway Account settings. Since version 14, gateway code lives in the separate Frappe Payments app, which includes integrations for several international providers such as Stripe, PayPal and Braintree; the exact list depends on the version. Many UAE businesses use regional acquirers and gateways instead, and those normally need a custom Frappe integration against the provider's hosted payment page API. Either way, card data stays with the gateway; ERPNext only stores references and amounts.
This page is specific to ERPNext. For a comparison of approaches across platforms see ERP payment gateway integration in the UAE. Card payments taken inside an online store are covered on our ERPNext ecommerce integration page.

Taking card payments is easy. Recording and reconciling them correctly in ERPNext is where UAE finance teams lose time.
Staff create links in the gateway portal and type the amount by hand. A link for the wrong amount or the wrong invoice is only discovered at month-end.
Accounts waits for the gateway email, then posts a payment entry. If two people see the same email, the payment is recorded twice and the customer statement is wrong.
The gateway pays out a net amount for many transactions, minus fees and sometimes refunds or chargebacks. Matching that single bank line to individual invoices is slow.
When fees are not posted separately, small balances remain open on customer accounts, and bank charges are understated in the P&L.
Customers pay in USD or EUR on an AED invoice, or the gateway settles in a different currency. Without rules, exchange differences land in the wrong account.

One shared database: every step updates stock, finance and reports in real time.
Fields and triggers vary by provider; this is the map we start from.
| Data | Direction | Trigger / frequency | Notes |
|---|---|---|---|
| Payment request (amount, currency, reference) | ERPNext to gateway | On payment request creation | Reference ties the gateway transaction to the ERPNext invoice or order |
| Hosted payment page URL | Gateway to ERPNext | Immediately | Stored on the payment request and sent to the customer |
| Payment status | Gateway to ERPNext | Callback or webhook on completion | Verify the signature before marking anything as paid |
| Payment entry | Created in ERPNext | On confirmed success | Posted to a gateway clearing account, not straight to the bank |
| Refunds | ERPNext to gateway, or recorded from gateway | On approval | Linked to a credit note; refunds often need a manager approval step |
| Settlement report | Gateway to ERPNext | Daily or per payout | Imported to split gross receipts, fees and VAT on fees |
| Bank payout | Bank statement to ERPNext | On statement import | Clears the gateway clearing account in bank reconciliation |
| Chargebacks and disputes | Gateway to ERPNext | When raised | Reopens the receivable and alerts the account owner |
We choose the method based on the gateway your bank or acquirer supports in the UAE.
A single-gateway setup is often completed in a few weeks; a custom regional gateway connector may take longer.
We review which gateway and settlement terms you have, which currencies are supported and whether the provider offers a hosted payment page API and webhooks.
We set up a gateway clearing account, a fees account and the VAT treatment of gateway fees, so every payout clears to zero.
We configure the Frappe Payments app where the gateway is supported, or build a small custom app that creates payment links and processes callbacks.
We test successful, failed, abandoned, partially refunded and charged-back payments in the gateway sandbox before going live.
We show the finance team the daily routine: import settlements, match payouts and review exceptions. Bank feeds can speed this up, as described in ERP bank integration.
Confirm VAT and accounting treatment with your tax advisor; these are the points we configure for.
Using hosted payment pages keeps card numbers out of ERPNext, which reduces your PCI DSS scope. ERPNext should only hold the transaction reference and amount.
The customer's payment does not change the VAT on the original tax invoice. Gateway fees are a separate supply to you and may carry VAT on the provider's invoice, which can be recoverable input tax subject to the usual conditions.
Payer names, emails and phone numbers are personal data under the UAE PDPL. Restrict access to payment logs and avoid copying gateway data into free-text fields.
Keep payment references and settlement reports with the invoice for at least the statutory retention period. E-invoicing from 2027 concerns the invoice, not the payment, so the gateway flow is unaffected; check the latest MoF/FTA guidance.

Typical improvements once payments flow straight into ERPNext.
Customers can pay the moment they receive the invoice, instead of arranging a bank transfer.
Confirmed payments are recorded against the right invoice automatically.
Gross receipts, fees and payouts reconcile to zero each period.
Statements reflect payments the same day, so collections calls are based on correct data.
We configure the system for the rules UAE businesses report against, and test it before go-live.

Yes. The payment request URL can be added as a variable in an approved template, as described on our ERPNext WhatsApp integration page.
Store checkouts take payment inside Shopify or WooCommerce. ERPNext then needs to record and reconcile those payments, which is covered with the Shopify and WooCommerce connectors. A gateway link in ERPNext is for invoices raised outside the store.
Payment requests can be created for a partial amount, such as a deposit on a sales order. The remaining balance stays open on the invoice.
We post receipts gross to a clearing account and record fees from the settlement report to a bank charges account, so customer balances close fully.
ERPNext subscriptions can generate recurring invoices with payment requests. Automatic card charging depends on the gateway supporting tokenized payments and on the connector, so we confirm it case by case.
