ERPNext holds your sales, stock and accounts. Power BI turns them into dashboards your directors actually open. We build the connection, the data model and the refresh, without slowing ERPNext down.
ERPNext connects to Power BI through a read-only connection to a MariaDB replica using the MySQL-compatible connector, the ERPNext REST API, or scheduled exports to a staging database. The data model must keep submitted documents only, exclude cancelled entries, handle multi-currency and add row-level security by company or branch. UAE groups gain consolidated dashboards without slowing ERPNext.
ERPNext Power BI integration in the UAE means making ERPNext data available to Microsoft Power BI in a controlled, refreshable way, then modeling it into reports for management. ERPNext's own reports and dashboards are good for daily operations: the stock balance, accounts receivable ageing, the sales register. Where companies outgrow them is cross-company consolidation, combining ERPNext with data from other systems, and board-level visuals shared through Microsoft 365, which many UAE groups already pay for.
There are three practical ways to feed Power BI from ERPNext. The first is a read-only connection to the MariaDB database, ideally a replica, using Power BI's MySQL-compatible connector. The second is the ERPNext REST API, which respects ERPNext permissions but is slower for large volumes. The third is a scheduled export of ERPNext reports or tables to a staging database or files. On Frappe Cloud, direct database access depends on your plan, so we check what is available before choosing. Frappe Insights is a native alternative for teams that do not need Power BI.

Most of these come from building dashboards on manual exports.
Someone exports the sales register and stock balance from ERPNext, pastes them into a workbook and emails it. The numbers are a week old and differ depending on who ran the export.
Analysts connect straight to the production database and run large joins during working hours. Users in the warehouse and accounts feel ERPNext slow down.
ERPNext stores draft, submitted and cancelled documents in the same tables. Dashboards that ignore the document status count cancelled invoices as revenue.
Groups with a mainland LLC and a free zone entity in one ERPNext site need intercompany eliminations and consistent currencies. Simple sums double-count.
ERPNext restricts a branch manager to their own branch, but a shared Power BI report shows every branch's margins unless security is rebuilt in Power BI.
A reliable data flow that keeps reporting load away from the live system.
One shared database: every step updates stock, finance and reports in real time.
Typical tables in an ERPNext Power BI model. The flow is one way: Power BI reads, it never writes back.
| Data | Direction | Trigger / frequency | Notes |
|---|---|---|---|
| Sales invoices and items | ERPNext to Power BI | Scheduled refresh, often several times a day | Use docstatus = 1 only; include returns as negative values |
| General ledger entries | ERPNext to Power BI | Nightly or on demand | Exclude cancelled entries; map accounts to a reporting hierarchy |
| Stock ledger and bin balances | ERPNext to Power BI | Hourly to nightly | Stock value by warehouse, item group and ageing |
| Purchase orders and receipts | ERPNext to Power BI | Scheduled refresh | Supplier lead times and open PO value |
| Customers, suppliers, items | ERPNext to Power BI | Nightly | Dimension tables with territory, customer group and item group |
| Cost centers and projects | ERPNext to Power BI | Nightly | Profitability by branch, project or division |
| Budgets | ERPNext to Power BI | On change | Budget against actual by account and cost center |
| Data from other systems | Other sources to Power BI | As scheduled | For example web analytics, CRM or a legacy system, joined on shared keys |
The right option depends on hosting, data volume and how fresh the numbers must be.
A first set of dashboards is often delivered in a few weeks; consolidated group reporting takes longer.
We start with the five to ten questions management asks each month, such as margin by branch, overdue receivables and slow-moving stock, before touching any data.
We decide between a read replica, the REST API or a staging export based on your hosting, volume and security policies, and create a read-only user.
We create fact and dimension tables, filter out drafts and cancellations, handle multi-currency and set up a date table that matches your financial year.
We reconcile every key measure to ERPNext's own reports, such as the trial balance and stock balance, so finance trusts the dashboard. Clean ledgers start with a sound ERPNext accounting setup.
We add row-level security by company or branch, set refresh schedules, and train report owners to maintain them.
Moving ERP data into an analytics tool creates a second copy. Treat it with the same care.
Customer and employee data copied to Power BI is still personal data under Federal Decree-Law 45 of 2021. Check which region your Power BI tenant stores data in and limit personal fields in the model.
Salary data from ERPNext HR and WPS processes should stay out of general dashboards, or sit behind strict row-level security.
Power BI is for analysis. VAT returns and corporate tax computations should still be prepared from ERPNext's tax reports, which keep the audit trail; confirm treatment with your tax advisor.
Review who can see shared reports when staff change roles, just as you review ERPNext permissions.

Typical outcomes once dashboards run on a proper ERPNext connection.
Dashboards reconcile to ERPNext reports, so meetings discuss decisions rather than whose spreadsheet is right.
Reporting queries run on a replica or a staging copy, not on the live system.
Several companies and currencies are presented consistently in one view.
Managers filter by branch, customer group or item without asking IT for exports.
We configure the system for the rules UAE businesses report against, and test it before go-live.

Ask an ExpertWe are not aware of a Microsoft-certified ERPNext connector. The common approaches are the MySQL-compatible database connector, the ERPNext REST API through Power BI's web connector, or a staging database.
Usually through the REST API or scheduled exports. Direct database access depends on your Frappe Cloud plan, so we confirm what your plan allows.
If your users only need ERPNext data and are not on Microsoft 365, Frappe Insights may be enough. Power BI fits better when you combine several systems or share reports across a Microsoft-based group.
Yes. Once web orders are created in ERPNext through the Shopify connector or the multi-channel integration, they appear in the same sales tables.
That depends on the refresh schedule and your Power BI licence. Several refreshes a day are common; near real-time needs a different design and is rarely necessary for management reporting.
Yes. We implement Zoho, Odoo, ERPNext and Dynamics 365. This page covers ERPNext; other connections are listed under ERP integrations in the UAE.
