ERP software pricing in the UAE rarely comes as one number. One vendor charges per user per month, another per app, a third offers a bundle priced across all employees, and open-source systems charge nothing for the license but bill for hosting and services. Put three quotes side by side and they often describe different scopes, contract lengths and user counts.

  • How many users of each license type are included, and can we change the mix later?
  • Is the price monthly or annual, and what is the minimum commitment?
  • Are there limits on transactions, storage, companies, warehouses or API calls?
  • Which apps or modules are included, and which are separate add-ons?
  • Is hosting included, and where is the data stored?
  • What does the vendor or partner charge for UAE VAT setup, WPS payroll and Arabic templates?
  • How will e-invoicing through an Accredited Service Provider be priced?
  • What does support cover, and what response times are committed?
  • How are version upgrades handled and charged?
  • Is the quote inclusive or exclusive of 5% VAT, and in which currency?

How to compare ERP pricing fairly

Follow these steps to turn different quotes into a single comparison.

Fix the scope first

Write one requirements list with modules, entities, users by role and integrations. Send the same list to every vendor so quotes cover the same scope.

Count users by role

Separate full users from approvers, viewers and occasional users. Many models price these differently, and over-licensing is a common hidden cost.

Normalize to five years

Convert every quote to a five-year view: licenses or subscriptions, hosting, implementation, support, upgrades and expected growth in users.

Separate one-time and recurring

List setup, migration and training separately from subscriptions and support. This shows cash flow and makes trade-offs visible.

Add the missing pieces

If a quote excludes payroll, e-invoicing connectors or Arabic templates, estimate them so the comparison is complete.

Test the assumptions

Ask what happens if you double users or add a company. Pricing that looks low today can scale steeply.

Some UAE requirements add cost lines that should be in every quote. Confirm tax rules with your tax advisor.

VAT on ERP purchases

Services bought from UAE suppliers usually carry 5% VAT. Services imported from abroad may fall under reverse charge, so check how each quote is invoiced.

E-invoicing connectors

From 1 January 2027 for businesses with revenue of AED 50 million or more, and 1 July 2027 for others, e-invoices go through an Accredited Service Provider. ASP fees and ERP connectors may be priced separately. Check the latest Ministry of Finance and FTA guidance.

Payroll localization

WPS SIF files and gratuity calculations may come built in, as an add-on or as partner development, which changes the cost.

Corporate tax reporting

Extra reporting or account mapping for corporate tax may be part of implementation scope rather than the license.

Is subscription or perpetual licensing cheaper?

Perpetual licensing has a higher upfront cost and lower recurring fees, plus maintenance. Subscriptions spread cost over time and include updates. Over five or more years the totals can be close, so compare on a full multi-year basis.

Is open-source ERP really free?
